Office Administrator [South Africa]


 

Our client who specialises in cutting edge medical technology requires a highly organised, efficient, calm and on the ball assistant commencing January 2024.

The person needs to be able to work in a calm, organised fashion with ability to fully converse in AFRIKAANS and have a minimum of 7 years in a highly pressurised admin intense role.

MS office suite is essential

Duties include but not limited too:

· Take Case booking (Send out on calendar, add to FM & OS)

· Send out quotations and cancellation emails if cancelled.

· Update board

· Keep track of Techs late, travel, weekend cases

· Capture JC & DN on Filemaker, OS and FM.

· Update quotations once paperwork is received

· Travel bookings (flights, accommodation, car hire)

· International Travel Bookings (Flights, Visa application)

· Manage diary – confirm all appointments and set up appointments

· Expenses

· Receive and dispatch stock and equipment, update – Update waybill spreadsheet.

· Stock take

· Confirm cases day before case AND send out allocations

· Send out stock totals 3 times weekly

· Send out outstanding to invoice list on viber

· Add all JHB, KZN, PE, Bloem orders to OS and FM

· Capex quotations

· Create and update Capex costing files

·· Capture all LMS training

· Capture/ keep all training schedules

· BEE Process

· Request payments from Directors if required

· Receiving calls and follow ups if requested

· Order water from Mineral man

· Sales call for NDI stock

· Assist with follow up on order numbers if requested

· Order office stationary

· Log faults with Cool ideas & Telkom

· Request more stock to be ordered once minimum stock has been reached.

· Filemaker reports

· Online orders processing

Hours are 8:30am - 4:30pm Monday to Friday

The role is paying a basic R16 0000 to commence , on completion of probation company will increase basic salary and pay additional 50% towards main member medical aid, 50% toward provident fund and average R500 for a standy allowance (on standby 1 weekend a month).

Offices in Weltevreden Park so ideally the person should reside MAXIMUM 15KM from office
