The High Desert Power Project is a 3x1 combined cycle facility with a Zero Liquid Discharge (ZLD) Water Treatment Plant. Major equipment includes 3 Siemens 501 FD3 Combustion Turbines with Alstom Heat Recovery Steam Generators (HRSG's), Toshiba 330 MW Steam Turbine/Generator, Actiflo Clarifier, Cold Lime Softening using Microfiltration, Reverse Osmosis, and HPD Forced Circulation Crystallizer.

General Summary

The Office Administrator is responsible for plant communication (incoming/outgoing) and plant staff clerical support duties. The Office Administrator provides scheduling and coordination of administrative duties to ensure timely completion of payroll, general accounting and office procedures. Working with NAES Human Resources, the Plant Administrator provides onsite coordination of policies and procedures.

Primary Functions

  • Prepare and maintain accounts payable and accounts receivable in accordance with Corporate Accounting procedures and customer requirements as directed by the Plant Manager
  • Administer Plant Procurement Process and Vendor Management Programs
  • Generate Purchase Orders using a Computerized Maintenance Management System in accordance with management requests while maintaining quotes and historical records
  • Validate receiving documents, purchase orders, Ensure invoices match and are recorded and reconciled accurately before closure.
  • Collect, collate and review procurement documents to facilitate approval of vendor payments
  • Facilitate check requests as needed
  • Assist with new hire orientations and new hire paperwork
  • Process incoming and outgoing mail on a daily basis
  • Maintain office supplies
  • Organize and execute staff social events
  • Maintain email distribution lists
  • Support plant document control processes and procedures. Comply with NAES document retention and recordkeeping requirements
  • Administer the Fitness for Duty and other administrative policies as applicable
  • Assist in plant budget preparation, monitoring and control
  • Greet visitors and direct to appropriate personnel.
  • Answer phone calls
  • Dependable, reliable and predictable attendance is required inside of 5-day work week (M-F business hours)
  • Complete other tasks as assigned

Work with Plant Manager and other plant staff to provide accurate and timely:

  • Processing of Invoices
  • Inventory summary reports
  • Cash requirements
  • Budget variance reports
  • Bank reconciliation processes
  • Debit card reconciliation processes
  • Accrual and other reports as requested by the client or NAES Accounting

Working Relationships

The Office Administrator reports to the Plant Manager and cooperates with the plant staff as needed in the daily operation of the plant.

Working Conditions

Some work may require protective equipment to be worn (hard hat, safety glasses, hearing protection).

There are smoking restrictions in and around the facility.

Fitness for Duty

All employees will participate in the Fitness for Duty Program. This program includes a post-offer drug screening and post-employment random drug screening. There are extensive smoking restrictions in and around the facility.

Work Schedule

Regular scheduled workdays are Monday to Friday, during normal working hours. Position may require extended working hours with the possibility of weekend and holidays, as required by workload.

Compensation

Initial compensation will range from $28.51 to $39.91 per hour.

Job Qualifications

  • Ability to understand procedures and instructions specific to the area of assignment as would be acquired in four years of high school
  • Ability to understand and follow procedures and instructions specific to business administration
  • Extensive office administration experience, with a strong emphasis on general accounting, budget control, and reporting.
  • General knowledge of Human Resources practices
  • Strong computer skills to include both word processing and spreadsheet programs
  • Excellent oral and written communication skills
  • Excellent organizational skills
  • Must possess a valid, in-state motor vehicle operator’s license at all times
