We are looking for a full-time Administrative Assistant. As a key member of the Administrative team, you will be reporting to the Managing Director. In this role, you will be responsible for supporting the Managing Director with scheduling, presentations, data analysis, research, event coordination, communications, and other administrative support.

Responsibilities:

  • Coordination of Executive Committee meetings and other governance-related activities, including scheduling, preparation and distribution of meeting materials, drafting correspondence and letters, and logistical support of the meetings.
  • Organization and maintenance of calendar for the Managing Director, including scheduling appointments, meetings, and other engagements.
  • Production of professional and accurate documents generated in a timely manner, including visual presentations.
  • Analysis of data and information to provide insights and recommendations.
  • Conduct, synthesize and report on basic research as requested.
  • Act as project manager for special projects as requested.
  • Work with the events team to coordinate Partners meetings and other Chair initiated events.
  • On an ad-hoc basis, support various events in day-of logistics and execution.
  • Manage incoming communications (email, phone and mail).
  • Develops and maintains a filing system; ensures business and operational reports, forms, and other documentation, paper or electronic, are readily available.
  • Over-flow administrative support when needed to the Director, Finance.
  • Handle confidential and non-routine information with appropriate discretion at all times.
  • Contributes to the promotion of a positive and professional work environment through teamwork and professional conduct demonstrating integrity and respect at all times.
  • Performance of other duties as assigned in order to meet the overall goals and objectives of the Firm.
  • Demonstrate alignment with the culture and core values of the organization.
  • Other duties as assigned.

Requirements:

  • Minimum 5 years of relevant experience in an administrative/professional support function.
  • Post-secondary degree in related field of study.
  • Excellent written & verbal communication skills.
  • Strong analytical and numeracy skills.
  • Superior customer service skills, with an aptitude to build and maintain internal and external client relationships.
  • Demonstrates good judgment, a problem solving and value-add mindset, with exceptional attention to detail and the ability to anticipate client needs.
  • High level of responsiveness, plans ahead and works within deadlines.
  • Proficient in MS Office applications including Word, Adobe, Outlook, Excel and PowerPoint.
  • A team player with a positive attitude and flexible approach.
