Financial Administration:
- Assist in the preparation and processing of financial documents, invoices, and expense reports.
- Organize and maintain financial records, ensuring accuracy and compliance with company policies.
Calendar and Schedule Management:
- Manage executives' calendars, schedule appointments, and coordinate meetings.
- Prioritize and organize tasks to ensure deadlines are met.
Travel Arrangements:
- Coordinate travel arrangements, including booking flights, accommodations, and transportation.
- Prepare travel itineraries and ensure executives are well-prepared for trips.
Confidential Information Handling:
- Handle sensitive financial information with discretion and confidentiality.
- Maintain a high level of professionalism and integrity in dealing with confidential matters.
Expense Management:
- Monitor and track executives' expenses, ensuring compliance with expense policies.
- Prepare expense reports and reconcile credit card statements.
Document Preparation:
- Draft and proofread financial reports, presentations, and correspondence.
- Ensure documents are accurate, well-formatted, and meet established standards.
Data Entry and Analysis:
- Enter financial data into relevant systems accurately.
- Assist in basic financial analysis and reporting as needed.
Technology Proficiency:
- Utilize relevant software and tools for financial and administrative tasks.
- Stay updated on technology advancements in the finance and administrative domains.
Continuous Improvement:
- Identify areas for process improvement and implement efficient solutions.
- Stay informed about industry best practices and recommend enhancements.
Qualifications:
- Bachelor’s Diploma/Degree in finance, business administration, or related field.
- Proven experience as a personal assistant or administrative role, with a focus on finance.
- Strong organizational and time-management skills.
- Proficiency in financial software and tools.
- Excellent communication and interpersonal skills.
- Discretion and confidentiality in handling sensitive information.
- Attention to detail and accuracy in financial tasks.
- Ability to adapt to changing priorities and deadlines.
- Proficient in Microsoft Office Suite.
